Privacy Policy

This policy explains what StudyMind collects, why, and what happens to it. StudyMind is an educational study tool, and we keep data collection to what the service actually needs.

What we collect

• Account details: your username, an optional email, and your password. The password is never stored in plain text, only as a bcrypt hash.
• Login sessions that keep you signed in.
• Your study material, organized into projects and folders, and everything generated from it: flashcard decks, quizzes, narrated videos, audio podcasts, interactive widgets, summaries, and research results.
• Your chat conversations with the AI assistant, including the message text, the number of tokens used, and which model answered, plus per-project memories the assistant keeps to give better help.
• Your study progress: which cards you know, their Leitner box, due dates, quiz attempts, and review history.
• Feedback you choose to give on AI replies (a helpful or not helpful rating and any optional comment).
• Voice: when you use the voice tutor, short recordings of your microphone are captured and sent to ElevenLabs to transcribe what you said. The audio itself is not stored, only the resulting text (kept as a chat message) and the AI's spoken reply.
• A credit ledger recording your AI usage, and background job records for generations in progress.

Cookies

We use a strictly necessary session cookie (HttpOnly) to keep you signed in, and a CSRF token cookie to protect your requests. There are no advertising or third-party tracking cookies.

AI processing and third-party providers

To produce your outputs, the content you submit (pasted or uploaded study material, chat messages, and generation instructions) is sent to third-party AI providers for processing:

• OpenRouter, which routes requests to large language models including Anthropic Claude and Google Gemini, for text generation, chat, summaries, and research (which may use web search).
• Google's Gemini image model, which generates illustrations for flashcards and video scenes.
• ElevenLabs, which generates the voices for video narration and podcasts, transcribes your spoken voice input (speech to text), and generates the voice tutor's spoken replies.

Uploaded documents and images are processed (text extraction and OCR) inside a sandboxed workspace. Submitting content means it is sent to these providers for processing, so do not submit content you are not comfortable sharing with third-party AI services, and do not submit anything highly sensitive.

How we use your data

We use your data to run the service, show you your own history, track your study progress, let the AI assistant continue your conversations and remember your project context, and account for your credit usage. Administrators and moderators can review submitted content, generations, and chat activity for safety and to approve submissions from moderated accounts. Any feedback you submit on AI replies is used to understand and improve the service. We do not use your conversations or content to train our own models, and the AI models are operated by the third-party providers above.

Storage and security

Data is stored in our database, passwords are hashed with bcrypt, and your projects, generations, chats, and progress are scoped to your account and not visible to other users, except content you explicitly choose to share (a deck shared with another user, a deck a teacher publishes to a class library, or a deck you publish as a public link, which anyone with that URL can open without an account).

What we do not do

We do not sell your data or share it for advertising. Feedback you give is used only to improve the service, not sold and not used to train models, and we do not use your conversations to train our own models. Your content is shared only with the third-party AI providers needed to generate your material and run the assistant.

Data retention and your choices

You can delete your own generations, chats, project memories, and projects at any time, which removes them from your workspace. Deleting content removes it from StudyMind's own storage but cannot remove copies already processed by the third-party AI providers, which keep data under their own policies. To delete your account and its associated data, contact the site administrator.

Age

StudyMind is meant for students aged 13 and over. If you are under 18, you should use it with permission from a parent, guardian, or teacher, and the third-party AI providers that process your content set their own minimum-age rules.
